Still Counting Stock by Hand? You're Losing Money and Time

Counting stock by hand costs you twice: once in the hours your staff spend counting and re-counting, and again in the money lost to errors those counts never catch. A barcode scanner connected to your ERP fixes both.

In many stores, warehouses and kitchens, stock count day still looks the same. Doors close early. Staff walk the aisles with clipboards, call out numbers, and someone types them into a spreadsheet late into the night. A week later, the figures still don't match the system, and nobody is sure which number is right.

It feels like a necessary chore. In reality, it is one of the most expensive ways to run a business.

Where manual counting loses you time

• Counting is slow. Staff have to find each item on a list, count it, write the number down, and move on. With hundreds or thousands of items, a full count can take days.• Data is entered twice. Every number written on paper has to be typed into the system later, often by someone who wasn't there when it was counted.• Recounts eat the rest of the week. When totals don't match, teams go back to the shelves to count again, sometimes more than once.• The business stops while you count. Shops close early, deliveries are paused and sales are lost, because nothing can move until the count is done.

All of this is paid staff time, often overtime, spent on work a scanner does in a fraction of the time.

Where manual counting loses you money

• Errors hide real losses. A miscount, a wrong item code or a smudged figure can cover up theft, damage or waste. If the count is wrong, you can't see the loss, so you can't stop it.• Wrong stock levels lead to wrong buying. If the system thinks you have 40 cartons when you have 10, you run out and lose sales. If it thinks you have 10 when you have 40, you over-order and tie up cash.• Similar items get mixed up. Different sizes, colours or pack types of the same product are easy to confuse by eye, so variants are counted against the wrong line.• Your financial statements are only as good as the count.Stock is often one of the largest figures on the balance sheet. An inaccurate count means inaccurate profit, inaccurate tax and poor decisions.

A single counting error may look small. Repeated across hundreds of items and every count, it adds up to real money.

The lot number problem

For food, drinks, pharmaceuticals, chemicals and cosmetics, knowing how much stock you have is not enough. You need to know which lot or batch it belongs to.

Lot numbers tell you which stock expires first, which batch came from which supplier, and which items to pull if a product is recalled. Writing them down by hand is slow and easy to get wrong: long codes, small print, and dozens of batches of the same item on one shelf.

When lot numbers are missed or mistyped, expired stock stays on shelves, older batches are left behind while newer ones sell, and a recall becomes a guessing game. Each of those costs money, and some cost customer trust.

How Winlium makes counting a scan away

Winlium ERP lets you count stock by scanning, including items tracked by lot number.

1. Open an Inventory Count and choose the warehouse. Every item, with its quantity on hand, loads automatically.2. Scan an item. Winlium counts one. Scan it again, and it counts two.3. Scan a different item, and it is counted on its own line.4. For lot-numbered items, Winlium captures the lot number with the scan, so each batch is counted separately. Variants such as size or colour are counted on their own lines too.5. As you scan, Winlium shows the difference between what you counted and what the system expected, so problems are visible straight away.

The count is recorded in the ERP as it happens, so there is nothing to retype and no spreadsheet to reconcile.

Every hour spent counting by hand, and every error it lets through, is money your business didn't need to lose. Scan it, count it, and trust the number.
